Wysie is an AI-powered business assistant operated by Appgenx.
2. Information we may process
Depending on how Wysie is used, we may process information including:
- merchant account and business information;
- names and contact information;
- business configuration and knowledge supplied to Wysie;
- questions and messages submitted to Wysie;
- WhatsApp identifiers and telephone numbers where WhatsApp is used;
- conversation content and message timestamps;
- website and service usage information; and
- technical information required to operate, secure and improve the service.
Wysie does not require customers to provide information that is unnecessary for answering their questions or providing the relevant service.
3. WhatsApp information
Where a merchant connects Wysie to WhatsApp, messages sent to that merchant's WhatsApp Business account may be processed by Wysie so that the assistant can understand the customer's request and provide an appropriate response.
This may include:
- the customer's WhatsApp identifier or telephone number;
- incoming and outgoing message content;
- message type;
- message status;
- message timestamps; and
- conversation history necessary to maintain the interaction.
WhatsApp communications are also subject to the applicable terms and privacy practices of Meta Platforms and WhatsApp.
Wysie does not use WhatsApp conversation data for unrelated advertising or sell customer conversation data.
4. Artificial intelligence processing
Wysie uses artificial intelligence services to interpret customer questions and generate responses based on information approved or supplied by the relevant merchant.
Information necessary to process a question may therefore be transmitted securely to authorised technology service providers used to operate the Wysie service.
Wysie is designed to keep merchant information separated so that one merchant's information is not made available to another merchant.
5. How information is used
Personal information may be used to:
- provide and operate Wysie;
- respond to customer enquiries;
- provide merchant-specific information;
- operate WhatsApp and website assistant functionality;
- authenticate and administer merchant accounts;
- maintain conversation continuity;
- monitor service operation and usage;
- detect misuse, fraud or security incidents;
- provide support;
- comply with legal and regulatory obligations; and
- improve the reliability and functionality of Wysie.
Marketing communications will only be sent where permitted by law and, where required, with appropriate consent.
6. Merchants and their customers
A merchant using Wysie remains responsible for the business information it provides to the platform. The merchant must ensure that information supplied to Wysie is accurate, lawful and authorised for use.
Where Wysie processes personal information on behalf of a merchant in providing the merchant's customer service, Appgenx processes that information for the purpose of providing the Wysie service.
7. Service providers
Appgenx may use authorised technology providers to operate Wysie, including providers of:
- cloud hosting and databases;
- artificial intelligence services;
- messaging and WhatsApp infrastructure;
- email and communications; and
- security, monitoring and operational services.
Information is shared only to the extent reasonably necessary for those providers to perform their services.
8. Cross-border processing
Some technology providers used by Wysie may process or store information outside South Africa.
Where personal information is transferred internationally, Appgenx will take reasonable steps to ensure that the transfer and processing are subject to appropriate safeguards in accordance with the Protection of Personal Information Act, 2013 (POPIA).
9. Information security
Appgenx uses reasonable technical and organisational safeguards designed to protect personal information against unauthorised access, alteration, disclosure, loss or misuse.
These measures include controlled access, authentication, tenant separation and appropriate encryption and security controls.
No internet or electronic communications service can, however, guarantee absolute security.
10. Retention
Personal information is retained only for as long as reasonably necessary to:
- provide the Wysie service;
- maintain required business and operational records;
- resolve disputes;
- meet legal or regulatory obligations; and
- protect the security and integrity of the service.
Information that is no longer required will be deleted, anonymised or otherwise handled in accordance with applicable law.
11. Access, correction and deletion
Subject to applicable law, individuals may request:
- confirmation that Appgenx holds their personal information;
- access to their personal information;
- correction of inaccurate information;
- deletion of information where legally appropriate;
- objection to certain processing; or
- information about how their personal information is being used.
Requests may be sent to info@appgenx.co.za.
Where information is processed by Wysie on behalf of a merchant, Appgenx may need to coordinate the request with that merchant.
12. WhatsApp data deletion requests
A person who has communicated with Wysie through WhatsApp may request deletion of personal information associated with their interaction by contacting info@appgenx.co.za.
The request should include sufficient information to identify the relevant Wysie interaction. Appgenx may request reasonable verification before processing a deletion request.
Information may be retained where required by law or where there is another lawful reason for retention.
13. POPIA and PAIA
Appgenx processes personal information in accordance with applicable South African data-protection legislation, including POPIA.
Requests for access to records may also be subject to the Promotion of Access to Information Act, 2000 (PAIA) and Appgenx's applicable PAIA procedures.
